The position is a Senior Associate, Administrative Services in the Global Clinical Development – Infectious Disease group located in Upper Gwynedd, PA. The person in this position will report to the Executive Director, Section Head and will provide administrative support to the Section Head and other group members as assigned.
Description
The primary activities include and are not limited to the following:
- Manage complex schedules
- Schedule travel – domestic and international
- Manage expense reporting
- Support the use of team sites and Microsoft Outlook, Word, PowerPoint, and Excel
- Support/coordinate special projects within the group/division.
- Perform general administrative/clerical duties
- Coordinate meetings, from both planning and scheduling perspectives
- Assist with Hire-to-Retire transactions
Important competencies for the role include the following:
- Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments.
- Work priorities and activities require a level of independence, as daily work is undertaken/reviewed with little supervision.
- Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity, and problem solving skills.
- Communication Skills must be at a level to effectively interact with our company executives and internal/external clients both on-site and remotely to maintain workflow.
- Performance requires an understanding of the proper handling of confidential information and documents.
Qualifications
Education:
- Required: High School Diploma or equivalent
- Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)
Required:
- Minimum of (8) years Administrative Assistant experience
- Minimum of (3) years Administrative experience supporting Sr. Directors / Executives
- Advanced computer skills using Microsoft Office Suite (Outlook, Word, Excel, and Power Point) and operation of other peripheral devices
- Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel
- Experience processing Visa/Passport Applications
- SAP experience processing Expense Reports, Purchase Orders, and Payment Requests.
- Advanced secretarial/clerical abilities with a history of high performance
- Professional communication skills
- An understanding of the proper handling of confidential information
- Documented experience as a strong performer in your current and past positions
