Job Description
Project Coordinator
Remote until COVID restrictions are listed, then onsite
Summary:
The GCS Project Coordinator role is a dynamic, fast paced position that covers a broad range of project coordination responsibilities. This position will coordinate various projects for GCS.
Responsibilities:
- Coordinate various specific/specialized projects for Global Clinical Supply and Functional Lines.
- Logistics and planning of GCS internal meetings as well as large off-site events (room reservations, agenda preparation, videoconference scheduling, distribution of meeting materials, catering requirements, Webex scheduling, managing slide presentations, preparation of meeting minutes).
- Calendar management for GCS leaders/colleagues as required including setting up appointments/meetings and coordinating schedules and itineraries.
- Coordinating complex domestic and international travel arrangements, VISA requirements and monitoring travel progress to resolve issues as they arise.
- Processing incoming and outgoing mail, including handling of correspondence which may be of a sensitive and confidential nature.
- Understanding and following standard GCS processes, procedures and SOPs as applicable.
- Processing onboarding requirements for new GCS colleagues in GDIM system, handling IT requirements and space planning.
- Preparing expense reports and reconciling Pfizer American Express statements against actual travel expenses.
- Independently identifying and responding to daily issues that arise; proactively identifying resources needed to perform position responsibilities.
- Creating and managing check requests, ePay and invoice processing for GCS in Ariba system.
- Processing requests for office supplies through Ariba
Qualifications:
- Associate’s degree with a minimum of 4+ years of administrative experience required.
- Minimum 4+ years experience supporting executives required.
- Excellent organizational skills and the ability to work independently, prioritize assignments, handle multiple projects simultaneously and manage multiple deadlines.
- Must have the ability to prioritize based upon established GCS guidelines and work in a fast-paced environment as well as being a team player.
- Independent, proactive and self-motivated with strong organizational, interpersonal and communication skills both written and verbal.
- Demonstrated experience managing multiple, complex projects, developing successful partnerships and strong customer focus.
- Possess excellent computer skills and a high level of proficiency in various computer programs including Outlook, Word, PowerPoint, Excel, Business Objects, Ariba, SharePoint, Teams and a willingness to learn new platforms and software.
- Ability to perform duties with a high level of professionalism and moderate supervision.
- Excellent judgment as well as the ability to work with confidential information and meetings.
