  • Event planning experience to include support for large meetings, off-sites and team motivation events.
  • Demonstrated problem solving skills with a focus on managing and arranging many competing priorities with high prioritization within a Senior Leader’s dynamic schedule.
  • Experience managing and following through on high volumes of requests, emails and phone calls.
  • Strong written and verbal communication skills.

How you will lead

  • Manage wide range of support services for multiple high level executive leaders including scheduling complex daily calendar(s), extensive travel, cross functional inter and intra department meetings to ensure prioritization of key initiatives, eliminate friction and maximize the efficiency and productivity of executive leader and her senior staff.
  • Provide support to ensure Executive has applicable resources, pre-reads, itineraries and agendas for upcoming calendar events, travel, meetings and daily schedules.
  • Effectively build and maintain close and cooperative relationships within EA communities to proactively coordinate or identify synergies, resolve conflicts across competing op mechs and influence effective time management of executive leader(s)
  • Effectively represent executive leader in interactions with key internal and external departments, employees, vendors or customers in need of meeting with the senior executive and team.
  • Facilitate and ensure highly productivity senior staff meetings through managing logistics, note taking, agendas and action items are followed up with
  • Prepare expense reports for executive leader to ensure reconciliation on time and error free
  • Liaison to corporate offices and/or other business units/functional groups and the EA communities as needed.
  • Demonstrate high level of service and accuracy in answering questions for co-workers, other employees and vendors.
  • Effectively organize and manage department op mechs and agendas including motivational team and department offsites, trainings, All Hands, etc
  • Effectively manage multiple tasks while being flexible as priorities and focus can change rapidly.
  • Proven experience to work in a dynamic environment with frequent schedule changes while providing superior service levels
  • Ability to effectively be the gatekeeper to executive schedule being able to prioritize and say “no” to requests without negative consequences.
  • Proactive thinker who can anticipate and identify needs before they become blockers
