Description:
This role will offer you the flexibility to make each day your own, while working alongside people who care so that you can deliver on the following responsibilities\:
- Partner with other Board Affairs Coordinators to manage administrative and logistical matters related to the Board of Directors; prepare invitations for scheduled meetings, secure meeting locations, and fulfill requests for audio/visual support.
- Prepare and maintain calendar invitations, meeting itineraries and meeting attendance records for internal and external participants.
- Prepare monthly retainer payments and process expense reimbursement requests for Board members.
- Request purchase orders and process invoices from outside consultants to the Board of Directors and the Corporate Governance team.
- Liaise with executives, senior management and support personnel to schedule one-on-one meetings with Board Members.
- Process inquiries and other communications to the Board of Directors; escalate issues as appropriate.
- Respond to internal and external customer inquiries, primarily from Board of Director members.
- May perform moderately complex projects or participate as a team member on highly complex projects.
- Organize, document, track, monitor, and report on a variety of operational information and business data including budgets, ongoing team activities, project progress, and/or program metrics.
- Support planning and execution of new initiatives and ongoing operations by tracking key deadlines and deliverables, organizing stakeholder meetings, and coordinating communication efforts as needed.
- Draft, organize, and maintain files, logs and documentation related to policies, processes, tools, and best practices.
Qualification:
- Responsive with excellent interpersonal and customer service skills.
- Must have strong oral and written communication skills.
- Strict attention to detail, accuracy, and the ability to multitask.
- Ability to work in a fast-paced environment, handle urgent requests, and resolve issues under tight deadlines.
- Proficient in Microsoft Office Suite, specifically Word, Excel, and Outlook Calendar.
- Position requires early arrivals and late departures primarily during Board/Committee events.
- Able to be available after-hours or for overtime without advance notice.
- Able to sit for long periods and able to travel by various methods of transportation (e.g., airplane, train, car) when on-site board meetings are reinstated.
- Bachelor’s degree or equivalent.
- Project Management and SharePoint skills are desirable.
- Experience with meeting planning and logistics a plus.
- Previous experience interacting with executives or board members is strongly preferred.
